Studio coordinator, MELS VFX

Summary
Reporting to the Production Manager, the Studio Coordinator is responsible for the coordination and support of customer service for the VFX sector in addition to coordinating and providing administrative support to the production studio.

Main responsabilities
- Provide impeccable service and hospitality to clients and coordinate studio visits.
- Ensure the administrative coordination of the production studio:
- Check and approve timesheets, keep vacation schedules up to date and inquire about absences on a daily basis;
- Ensure the coordination of internships;
- Submit monthly expense reports and manage employee expense account requests;
- Follow up and make an inventory of the inputs and outputs of the equipment used.
- Coordinate the onboarding of new employees and act as a point of contact for employees:
- Organize and coordinate employee training (management of online training accounts);
- Manage email and instant messaging groups and track and manage all common online accounts;
- Follow up on closings of employee accounts upon departure;
- Ensure the ordering of meals when necessary;
- Provide administrative follow-up to employee requests.
- Provide support for improvements to certain elements of the studio environment:
- Report to the premises maintenance and supervision team any improvements and deficiencies;
- Keep kitchen, meeting and viewing rooms clean and ensure that refreshments are available at all times.

Required profile
- College diploma in administration or in a relevant discipline;
- Two (2) years of relevant experience in coordination;
- Proficiency in the MS Office suite;
- Fluency in French and English, both oral and written;
- Customer service orientation;
- Rigor in the execution of tasks;
- Attention to detail;
- Sense of priorities;
- Ability to manage stress;
- Team spirit and positive attitude.
